What I actually do.

Three stages, in the order they tend to matter: get the books right, set the standard, put the numbers to work. Each one is here because of what it gets you, not because it fills out a list. Most engagements start in the first and grow into the others.

01

Get the books right

The foundation. Nothing downstream is worth anything if this part is wrong.

Your time back, and an end to wondering what's wrong in there.

I take over your monthly bookkeeping and close, and if you're behind, I catch you up first. That includes cleaning up or rebuilding a QuickBooks file that has drifted, designing a chart of accounts that actually tells you something, reconciling your bank and credit card accounts every month, and getting your payables, receivables and payroll running as processes instead of fire drills. I document how it all works, so none of it stays locked in one person's head.

When it's done you have books you can trust, closed on a schedule, without touching them yourself.

02

Set the standard

The system that keeps the books right every month, so staying current stops depending on anyone remembering.

The books stay current without you chasing them.

A documented monthly close: what gets reconciled, in what order, by when. Automation where it earns its keep, from linked invoicing and POS to payroll that runs on rails. Then a reporting package and dashboard built around the handful of numbers that actually move your decisions.

If you report to a board, an investor or a lender, I build that version too.

03

Put the numbers to work

The part most bookkeeping stops short of, and the reason to keep the books current in the first place.

Fewer expensive guesses, and a plan you can hold up to anyone.

This is where current books start paying for themselves. Annual budgets and rolling forecasts, cash flow planning so you always know your runway, and a model for the specific decision in front of you: a hire, a location, a piece of equipment, a price change, a break-even you need to hit.

When you need financing I prepare the application and handle the reporting once it's in place. Audit preparation and support sits here too. And if you need someone in the CFO seat without hiring one, that's a fractional engagement.

On systems

You don't have to use QuickBooks. I work in whatever system you're already in, and if the right answer sits outside an accounting system entirely, whether that's a model, a set of reports or a process, I'll build it there instead.

Not sure which of these you need?

That's a normal place to start. Describe the situation and I'll tell you what I'd actually do about it.
